Create flight and non-flight events through the aircraft and crew calendar. This guide will outline: 

  • how to create an event from the Aircraft Calendar; and 
  • how to create an event from the Crew Calendar; and 
  • the explanation of each field in the event form; and
  • outline what roles has access to edit created events.

AIRCRAFT CALENDAR

There are two ways to create an event from the aircraft calendar. 

  1. By clicking Add Event at the top-right hand corner.

    2. By clicking the triangle icon > [New Event] from the event container or aircraft                block. If creating from the container block, the container is auto-filled. If creating            from the aircraft block, the aircraft is auto-filled. 

CREW CALENDAR 

There are two ways to create an event from the crew calendar. 

  1. By clicking Add Event at the top-right hand corner. 
  2. By clicking the triangle icon > [New Event] from the crew member block. The data auto-fills if created from this process. The Personnel Member is not auto-filled. 

EVENT FIELDS 

Subject: This is the name of the event and is displayed on the calendar in the event on row 1.
Location: This is reference.
Timezone: Local, Homebase and Zulu are the options. When Timezone is set to:

  • Local: The time input is in Local time based on the airports selected. 
  • Homebase: The time input is the Homebase time based on the user logged in. 
  • Zulu: The time input is the Zulu time based on the user logged in. 

The event will display on the aircraft and crew schedule in the time zone set in the Schedule Filter Settings, not in the time zone in which the event was created (unless they are the same). The Timezone setting can be set as a default by accessing the personnel's profile. Refer to Flight Crew Personnel Profiles for details

Start Date: Based on the Timezone option set, input or select from the date picker by clicking on the date.
Start Time: Based on the Timezone option set input the start time of the event.
Start Airport: Search by ICAO, IATA, FAA or by city to select the start airport. Manually created Locations are not in the drop down selection.
End Date: Based on the Timezone option set, input or select from the date picker by clicking on the date.
End Time: Based on the Timezone option set input the end time of the event.
End Airport: Search by ICAO, IATA, FAA or by city to select the end airport. Manually created Locations are not in the drop down selection.
Event Type(s):

  • Duty Time: These types of events are looked at and flags if there is a duty time issue. This does not flag in the trip snapshot on an overlap.
  • General: This event type does not flag in the trip snapshot.
  • Out of the Office (Unavailable): This event type is factored into the trip snapshot flags.
  • Hard Day Off (Unavailable): This event type is factored into the trip snapshot flags. 

Duty/Event Category: The duty/event category allows further categorization of events. For example, it's a duty event that needs to be categorized as training. This will allow for more granularity when reporting on personnel events. These categories can be customized in Global Settings > General > Duty/Event Categories. 

Container and Aircraft: Personnel events require an event container OR a tail # when you save the event form. It is not required to enter both. If Container is set, be sure to have Containers filtered in the settings.

Per Diem Eligible: When selecting Per Diem Eligible, the event will factor into customized reporting options. Additionally. set the per diem rate in the personnel profile > employment tab.

Add Personnel Member: Active personnel members are in the list to Add. Apply one personnel or multiple personnel to the same event if the details are the same.

Description: Any details applicable to the event.

Helpful Hints: 

  • Required fields: Subject, Event Type, Container or Aircraft and Personnel. If Timezone is set to Local a Start Airport is required. 
  • Events for personnel are considered at the trip level when crewing. The trip snapshot > crew section will display schedule conflicts.

USER ROLE EDIT ABILITIES 

Each user has access to create an event for themselves. Once created, the following user roles have access to edit the event: Accounts Admin, Operations Manager, Sales Manager, Scheduling Manager, Chief Pilot and Sales & Scheduling Agent. The remaining roles do not have the ability to edit an event: Fleet Administrator, Finance Manager, Marketing Manager, Crew Records Manager, Finance Agent, Maintenance Technician, Sourcing Agent and Pilot.
